The EA serves as the primary point of contact for all internal and external administrative matters pertaining to the Regulatory business. The Executive Assistant also serves as a direct liaison to the leadership team; plans, coordinates and facilitates the details of executive internal and external meetings; and oversees special projects as directed. The EA must be creative, organized, detail-oriented, exercise good judgment, have strong written, verbal and administrative skills. The EA must be able to work in a high-stress, dynamic, complex work environment and balance multiple priorities. The EA will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure to handle a wide variety of tasks, assignments and confidential matters with discretion. The EA must demonstrate a strong bias for action by handling administrative matters expeditiously, proactively and professionally to ensure successful completion of assigned projects and tasks.Roles and Responsibilities The EA completes a broad variety of administrative tasks including: • Managing a very active and fluid calendar of appointments; meticulous attention to detail in scheduling, coordinating and planning internal meetings, agendas and appointments; planning detailed domestic and international travel, writing itineraries, arranging point-to-point transportation; compiling documents for travel-related meetings; completing expense reports• Planning the executive’s daily, weekly and monthly schedule of events• Planning, managing and executing ongoing key team activities (staff meetings, all-hands meetings, training, offsites, town halls, skip levels, morale events)• Composing and preparing business correspondence; keeping the executive’s communications organized to filter low priority items and focus on important information• Serving as the "gatekeeper" to the executive office, screening and prioritizing appointments/meeting requests while always providing polite and professional service• Communicating on behalf of the senior executive directly with the leadership team and other stakeholders across the organization • Training other administrative staff on company policies and best practices• Have fun at work and help others do the sameDue to the need to access certain federal controlled information, you must be a U.S. citizen for consideration.
